Both get your organization professional email and calendaring. The right choice depends on what else you need it to do.

When an organization outgrows a free or consumer email account, the decision usually comes down to two paths: Microsoft 365, or a standalone hosted Exchange mailbox. Both are legitimate, well-supported options — the right one depends on what your team actually needs beyond email.

What hosted Exchange gives you

Hosted Exchange is, at its core, a professional mailbox: reliable email, shared calendars, and contacts, managed on your behalf. It's a lighter-weight, typically lower-cost option when email and calendaring are genuinely all you need — for example, a small office that already has its own file storage, video conferencing, and productivity tools in place.

What Microsoft 365 adds

Microsoft 365 includes hosted Exchange email, but bundles it with a broader productivity and security suite:

  • Word, Excel, PowerPoint, and Teams, licensed per user
  • OneDrive and SharePoint for file storage and collaboration
  • Built-in mobile device management for phones and tablets
  • Security features like multi-factor authentication and data loss prevention

For most growing organizations, this bundle ends up cheaper than licensing each of these tools separately — and it centralizes management in one admin console instead of five.

Our take: if you're already paying for Word, Teams, or a separate file-sharing tool, Microsoft 365 usually costs less than the sum of its parts. If email truly is the only gap, hosted Exchange is a leaner way to close it.

Whichever platform you choose, the risk isn't in the decision — it's in the migration. Lost calendar invites, broken mail flow during the cutover, and confused staff logging into the wrong system are the common failure points.
